Some Markup Shows in Print Word Doc

Here’s an SOS I hear a lot:

I sent my document to a colleague for comments. He chose “highlight changes” and “track changes while editing” and “highlight changes in printed document” from the “Tools” menu. When he sent it back, I kept the changes I liked, deleted the others, and chose “Final” in the view drop down box on the reviewing tool bar. I unchecked “Track Changes” and for good measure, and unchecked all the boxes that drop down when you highlight it. Now two really bad things are happening:

1) When I email it to someone, the document opens showing all of his changes and comments

2) When I print, there’s a line in the left margin next to any text that he changed.

You can skip all that checking and unchecking. There’s one step you must take to get rid of those unwanted “tells”: Accept or Reject Changes. You’ll find this choice in the Reviewing Toolbar/Pane/Palette or under Tools>Track Changes. If you use the choice from the menu bar, it will automatically advance.

Usually the easiest thing to do is reject the changes you don’t want, then chose the crucial last step: Accept All Changes. This is very confusing because you rejected some of the changes, right? No, the ones you rejected won’t return, but your document will be finalized. I agree that it’s counterintuitive, but you have to do it.

What if you want to accept all the changes anyway – no rejects? Just do it – you don’t have to choose it twice to finalize the document. No more weird lines! And best of all, no one can see the part where he wrote, “What drugs are you on??”
