How to Avoid Double Booked Resources in Outlook

Many companies use the “Resource” feature in Outlook to book conference rooms. Sometimes you do everything right and discover someone else in your room, just as adamant as you are. If you open the tracking tab, you’ll see that your room accepted, but if you open the scheduling tab, you’ll see that the room has changed from a little green resource icon to a brown invitee icon. Here’s what happens:

Once you’ve created the invitation with the conference room in place, you cannot add invitees by typing them in the “To” box. You must click on the “To” button and enter the information in the pop-up box instead:

Once you enter the new names in the pop-up, just click OK and save the invitation. The pop-up that comes up allows you to send to only the new people or send an update to all invitees – either way, your conference room is undisturbed. Anyone in your room now is just poaching.
